    “The biggest thing about lead efficiency is you need to look at your reporting to really understand what percentage of those leads pick up. You’re paying them, the cost of the dial is a hard cost. And more importantly, I can turn off lists where we talked to a lot of people and it didn’t result in sales.”

Every hour counts,” Hakimi said. “So if you don’t make those digital decisions on the fly, and you don’t have the data available to you, you’re gonna lose that production for that day, or hour, or whatever it might be. And it’s really costly.”

What are the returns on it, and what are the associated costs? Because you’re not going to see those costs for a period of weeks or months after you make those dials.”

Tracking your cost per acquisition, first call closes, average call times, sales per agent, and more gives you a detailed picture of your performance.     Integrating analytics into a single platform for strategic call center data management

    Trying to pull together data from a variety of tools can be challenging and has the potential to cause problems. For call center data analytics to be most effective, use a dialing system that integrates all of your metrics together through your integrated dialer. Create a set of customized, automated call center analytics reports that help your management team make sense of the information.     John Gallagher also recommends hiring a data analyst who knows how to examine and interpret your call center data.

    “Once you have that data, you can quickly pull out the information that tells you what changes you need to make,” he said. “You might need a full-time person, you might not. You could use a consultant who could grab that information, do a quick analysis, and guide you on a way to make changes. A full-time person is nice because you can look at it in real-time and say, ‘This is what’s going on.’”

    Though it is an additional cost, having a data analyst on your team is essential for a well-managed call center (particularly growing, large scale and enterprise level contact centers).  “Having a data analyst with your call center or your dialer manager, having somebody with them to run numbers and present analysis is very valuable,” Gallagher said. “It’s a luxury but it will pay for itself if you manage it right.”

    Of course, all of this discussion leaves out a critical way that outbound contact centers will need to use data to drive growth in 2024. It’s essential that your dialer software delivers both real-time and historical reporting. As we’ve discussed, this will guide managers to make informed decisions that benefit the business. But what about during those all-important conversations that your agents have with potential customers?

    Reporting on agent, lead, and list performance can help call center managers steer their ship in the right direction. But it’s successful lead gen and sales conversations that agents have that will actually drive the business’s forward momentum. According to Retreaver’s Dylan Graham, then, equipping agents with customer data can be like pouring jet fuel on your sales process.

    Depending upon how you acquire your leads, you should have a certain range of information about them at your disposal: That includes basic demographic data like age and location, as well as more particular info like their credit score. This data can get quite niche and granular to support sales in your particular industry. As ActiveProspect’s Yung Chung put it in a Convoso webinar, “You can know something as crazy as how big somebody’s roof is or if their basement is finished.”

    No matter how outlandish the data, though, there is worth there for your sales or lead gen agents. Each data point is potentially something that you can use in your call center script to boost credibility, offer increased value, and ultimately increase conversions. “There’s literally data at every point of your sales process,” says Graham. “I’ve seen ridiculous upticks in revenue and profit when you integrate [customer] data points into your sales process.”

    Studies show a similar confidence in the personalization of the sales process. 71% of consumers expect companies to deliver personalized interactions—and 76% get frustrated when this doesn’t happen.
